01 / The decision

Which approach fits your team?

Microsoft 365 Copilot adds AI to work in Microsoft applications. chifty connects Chat, Knowledge and Office in its own workspace. Both approaches can use company information. Compare applications, sources, permissions and licence requirements.

Shortlist Copilot when …

  • Most daily work happens within Microsoft 365 applications.
  • You need AI features directly inside Word, Excel, PowerPoint or Teams.
  • You have accounted for Microsoft licences and administration of source access.

Shortlist chifty when …

  • Knowledge-grounded chat and email are your priority use cases.
  • You want to include sources and mailboxes beyond a uniform Microsoft workspace.
  • You want a focused source inventory with explicitly configured roles and deployment.

What matters beyond the feature list.

Microsoft 365 Copilot, Copilot Chat and alternatives

Copilot refers to several offerings. This comparison concerns Microsoft 365 Copilot for business work. Copilot Chat alone and a licensed Copilot with features within Microsoft applications are not the same scope.

Microsoft describes integration in Word, Excel, PowerPoint, Outlook and Teams. chifty does not universally replace those in-application features. Consider it as an alternative for knowledge-grounded chat and email tasks, identifying the exact application and result for every requirement.

Ask in your demo: Do we need AI within a particular Microsoft application, or an answer grounded in approved sources?

Calculate the full cost of Microsoft Copilot

A cost comparison should include the selected Copilot plan, qualifying Microsoft 365 base licence, term and required extras. Check existing contracts before treating an additional per-user price as the complete investment.

Separate existing costs from costs introduced by the project. Then compare chifty products, users, mailboxes, storage, setup and ongoing support. Changing the AI solution does not automatically remove Microsoft commitments or the need for Office applications.

Ask in your demo: Which costs are additional, and which licences will we continue to need regardless of the AI decision?

Company knowledge, Microsoft Graph and permissions

Microsoft 365 Copilot can use company data through Microsoft Graph and connectors. External sources are therefore not a universal differentiator for an alternative. Evaluate the available connector, data type and administrative effort.

Microsoft describes access within existing permissions. Overly broad sharing therefore remains a source issue to address before rollout. chifty also requires deliberate configuration of sources, roles and access. Test retrieval and answers with authorised and unauthorised accounts.

Ask in your demo: Can this test account infer anything from an answer that it cannot access in the source system?

Compare Outlook AI and limit migration scope

If Outlook is your main workspace, compare the complete email task: understand the thread, add approved knowledge, prepare a reply and review it. Include context switching and team habits in the evaluation.

A pilot can initially cover one team. chifty mailbox connections are configured for each provider; this comparison does not promise automatic transfer of all Outlook rules, Copilot agents or Microsoft automations. Record which Microsoft features must remain in use.

Ask in your demo: Which steps stay in our existing workspace and which move to a new interface?

04 / Put it into practice

Compare where the work actually happens.

Choose a daily workflow to reveal whether an application integration or a dedicated workspace fits better.

Discuss your requirements
  1. Identify the application

Separate an Outlook reply from an Excel or Teams task. Evaluate the scope each offering actually covers.

  2. Align the knowledge sources

Use the same approved documents and define which role may access each piece of information.

  3. Measure the complete task

Record navigation, source checking, corrections and the time required to approve the reply.

  4. Record remaining requirements

List Microsoft licences still needed, outstanding integrations and responsibility for access management.
